Where you stand

Real numbers, from your own exports. This part never moves.

So far this year

Paying you what you want.

You've earned and kept $28,150 so far. With what's booked, you can pay yourself what you want.

That's $8,100 more than your $1,200 a week needs, before tax, from what's already shot and signed. You're nearly full, so the next move is price, not volume.

3 months counted · 8 shot · 18 more booked this year

Sound familiar?

Money in isn’t money made.

You know that feeling. A big year. Back-to-back Saturdays. Then you look at the bank and think, where the hell did it all go?

A $4,455 booking lands and your brain says “I just made $4,455.” But you know it isn’t true. Some of it is GST. Some is travel and your second shooter. Some is software, gear and insurance. Some belongs to tax. And a lot of it is the editing week nobody sees.

A different question

Booked out is not a business model.

The wedding industry loves busy. Five weddings this week. Fifty this year. Booked solid. But there’s a better question than “how do I book more?”

How profitable is the work you’re already doing?

Twenty well-priced weddings can make a better business than fifty priced badly. More isn’t always the goal. Better can be. You shouldn’t have to choose between being brilliant at your craft and running a commercially smart business.

Running on vibes

  • Pricing off what the vendor down the road charges
  • Quoting a Tuscany wedding like one down the road
  • Saying yes, then working out if it was worth it
  • Not knowing which weddings actually made you money
  • Revenue as the only scoreboard

Running it like a business

  • Prices built from your real hours and costs
  • Every bespoke wedding modelled before you quote
  • You know a job pays you before you say yes
  • Tax set aside as you go, not a surprise at the end
  • A clear read on the year, in plain words

The fix, in one sentence

Signed bookings can’t be repriced, so it tells you how many open dates to fill or what to charge on the next one.

To pay yourself $1,500/wk you’re $12,700 short for the year. Signed bookings can’t be repriced, so it takes this: fill 4 more dates at your usual $4,350 (you have room for 4).
“What should I charge?”

  • Three prices for every package: cost floor, sustainable and growth. Tap sustainable to use it, or type your own.
  • Quote a real wedding: travel by the kilometre, flights, accommodation, a second shooter, outsourcing, and that discount the couple asked for, each on its own line.
  • A verdict before you send it: profit before tax, your tax set-aside, what your time cost, and what’s left after paying yourself.

Fair questions

“But I already…”

“I already have Xero and Studio Ninja.”

Keep them. They each do their job. Wedding Brain isn’t accounting software and it doesn’t replace your bookkeeper.

But having the data isn’t the same as knowing what it means for the decision in front of you. Wedding Brain reads what those tools produce and answers the question they don’t: what does this booking mean for my business?

“I’m not a numbers person.”

Neither are most people who got into weddings. You’re here because you’re bloody good at film, photos or content.

You don’t need an accounting degree. You need the numbers turned into plain answers: What does it cost? What am I making? What would I need to charge?

“I just need more bookings.”

Maybe. Or maybe you need better money from the bookings you already have.

More work and a better business aren’t the same thing. Wedding Brain shows you what another booking really adds before you take it on, and when it’s the price, not the volume, that needs to move.

Why it exists

Wedding Brain started because I needed it.

When I started my wedding business, I took on a lot of risk and figured things out as I went. You’re excited people want to book you, so you make it work.

Then the jobs got bigger. More travel. More moving parts. More things that could turn a great-looking booking into one that made very little sense financially.

Around a year in, something shifted.

I’m 30. This is a real business now. I need to know it’s actually making good money.

Not what a client paid me. What I actually made. What does this job cost me to take on? If someone else delivered it for me, what’s left? Is saying yes commercially smart?

I didn’t have a system for any of that. I was working quotes out in my Notes app.

Then my partner Mitch started building a tool for the same problem in the hair industry. The clarity it gave you over the business was insane, and I immediately thought: we need this for weddings. Because weddings are bespoke. One is down the road. The next has flights, accommodation, another shooter and days of extra editing. Quoting both the same way makes no sense.

So we built it. First for my business. Now for yours.

I still take risks in business. I just want them to be smart ones. I want to know what I’m charging, what I’m making, and that the decision was deliberate.

Amelia

Built inside a real wedding business

Not a hypothetical. A tool we use.

We built Wedding Brain while quoting real weddings and working out what those jobs actually produced. When we started showing it to other vendors, the reaction was pretty consistent.

Pilot results will go here, in vendors’ own words, as they come in.

Questions

The ones we get asked first.

Is this accounting software?

No. It doesn’t replace Xero, Rounded or your bookkeeper. It reads what they produce and tells you what it means for your pricing and your year.

Does it replace my accountant?

No. Your accountant handles accounting and tax. Wedding Brain helps with the everyday commercial decisions: what to charge, whether a job is worth it, and how the year is tracking.

Is this financial or tax advice?

No. Wedding Brain gives you calculations and decision support from the numbers you provide. The tax figure is a set-aside at the percentage you choose, ideally with your accountant’s input. The GST figure tracks the ATO’s $75,000 threshold so you see it coming.

Do I have to type my numbers in every month?

No. You fill in a ten-minute questionnaire once during setup (on a call if you like), then email us two exports a month: your bookkeeping export and your wedding software export. We load them within two business days. No retyping.

Which wedding software does it read?

Studio Ninja’s payments export today. Dubsado, HoneyBook, Pixieset and VSCO Workspace get added the first time a customer sends a real export, so a format is never guessed.

Who sees my figures?

You. Your data is isolated to your account, and we never get logins to your software. Mitch sees the upload preview when loading your files and nothing else by default.

Couldn’t I just do this in a spreadsheet?

Maybe. If you already have a spreadsheet that tells you what each wedding costs, what you’re left with after paying yourself, and what to charge, and you actually use it, you may not need us. Wedding Brain is for vendors whose numbers live in five places, or nowhere.

Who is it for?

Solo wedding vendors who sell packages and do the work themselves: videographers, photographers, content creators and celebrants. It isn’t built for venues, caterers or florists.

I’ve only just started. Is it useful yet?

Yes. You can price your packages properly from day one. Your Brain gets more useful as real bookings and months of data build up.

Why is there a setup fee?

Because setup is where the value starts. It covers getting your business into Wedding Brain properly: your welcome questionnaire, your packages built and priced, and your first files loaded, so your first verdict is based on your real numbers. Your first month is included. After that it’s $20 a month to keep it current.

What happens if I cancel?

Your dashboard goes read-only at the end of the period. Nothing is deleted, and you can rejoin any time.

You don’t need another 20 weddings to prove you’re doing well.
